Completing Tasks in the CRM: A Step-by-Step Guide

This guide outlines how to complete various tasks within the CRM and manage your leads effectively.

Task Types and Completion:

The CRM supports different task types, including emails, SMS messages, print documents, and phone calls. Here's how to complete each:

  • Email/SMS/Print Document Tasks:

    1. Click the Task type icon:  Click on the task in your task list. This will open a window with the necessary tools to execute the task.
    2. Complete the Action: Depending on the task type, you'll be able to compose an email, write an SMS message, or generate a print document.
    3. Confirm Completion: Executing the action will confirm the task completion within the CRM.
  • Phone Call Tasks:

    1. Click the Task: Click on the phone call task in your list. This will open a window specifically for phone call tasks.
    2. Click "Desk" or "Cell" If your location utilized Click-To-Call Integration (Skip this step if you do not)
    3. Input Notes:  Enter detailed notes about your phone conversation, including key discussion points and any agreements or next steps.
    4. Select Outcome: Choose the appropriate outcome from the provided options (e.g., "Spoke to Customer","Left Voicemail","No Answer").
    5. Confirm Completion: Once you've entered your notes and selected the outcome, confirm the task completion.



Post-Completion Prompts:

After completing a task, you'll be presented with two helpful prompts:


  • Update Lead Status: If the lead is currently open, you'll be prompted to update its status based on the outcome of the task. This helps you keep your lead pipeline organized and reflects the progress of each lead.
  • Schedule Future Task: This prompt allows you to seamlessly schedule a follow-up task related to the completed one. This ensures continuity in your communication and lead management.

By following these steps and utilizing the post-completion prompts, you can efficiently manage your tasks, maintain accurate lead records, and foster effective customer interactions within the CRM.
